I Priced HubSpot, Zendesk, Trello and Calendly Against One Self-Hosted WordPress Stack

I Priced HubSpot, Zendesk, Trello and Calendly Against One Self-Hosted WordPress Stack

I priced a five person company's SaaS tools against one self-hosted WordPress stack. Over three years the WordPress side came to about $2,700 with hosting, against $9,252.

The stack is FluentCRM, Fluent Support, FluentBoards, FluentBooking and Fluent Forms, all from WPManageNinja. They stand in for HubSpot, Help Scout or Zendesk, Trello, Calendly and Jotform.

FluentCRM and Fluent Support sell only yearly licences, so two of the five pieces always renew. I installed the free versions of all five on a fresh WordPress site and pushed one test lead through a form, a booking and a support ticket. Every price was checked on the vendor's pricing page on 31 October 2026.

The Short Answer

My Verdict

The Fluent stack4.5/5

Worth it for a consultant, a small agency or a course business that already runs WordPress and has someone who can look after it. Start with the free plugins, buy Pro one piece at a time, and take the lifetime licences only for the tools you are sure you will keep for four years or more.

What works

  • Five tools for $565 a year on one site, with no per seat fees
  • Forms, bookings, tickets and tasks all land on one FluentCRM contact
  • Unlimited contacts, so the bill does not grow with your list
  • Forms, Booking and Boards sell lifetime licences

What does not

  • FluentCRM and Fluent Support are yearly only, no lifetime plan
  • No sales pipeline in FluentCRM yet
  • Calendar sync, video links and paid bookings need FluentBooking Pro
  • You run the server, email delivery, backups and updates

What a Team of Five Pays Over Three Years

My example company has five people. All five use the CRM and the project board, two answer support, three take sales calls and one owns the forms.

SaaS prices are the yearly billing rates from each vendor's pricing page. Fluent plans are priced per site, so headcount never changes the Fluent bill.

ToolSeatsPrice3 years
HubSpot Starter Customer Platform5$20 per seat a month$3,600
Help Scout Standard2$25 per user a month$1,800
Trello Standard5$5 per user a month$900
Calendly Teams3$16 per seat a month$1,728
Jotform Bronze1$34 a month$1,224
SaaS total$3,084 a year$9,252
Swap Help Scout for Zendesk Suite Team at $55 per agent and the SaaS total rises to $11,412.
Calendly pricing page with the Teams plan at $16 per seat a month billed yearly and Enterprise from $15k a year

HubSpot advertises a limited time Starter price from $7 a seat for new customers, so year one can come in under this table. Starter includes 1,000 marketing contacts and the bill climbs as the list grows, while FluentCRM has no contact limit.

Fluent list prices for one site. Server is a $28 a month 2 GB Cloudways plan; email is Amazon SES at $0.10 per 1,000 emails, about 10,000 emails a month.
Cost bars for a team of five: SaaS stack $9,252 over 3 years and $15,420 over 5, Fluent stack $2,739 to $2,815 over 3 years and $4,027 to $4,565 over 5

The lifetime maths surprised me. Over three years the lifetime mix costs $76 more than paying yearly, because $997 up front for three plugins is more than three years of their $307 yearly fees. Lifetime pulls ahead from year four.

With the current first year discount on the Fluent sites, the lifetime mix comes to $1,493 for three years of software. Check the live pricing pages before you buy.

The Five Pieces, What Free Gets You and What Pro Adds

All five have a free version on WordPress.org. The Pro plans differ mainly by site count, and FluentCRM's pricing page promises a 14 day money back guarantee.

FluentCRM, the HubSpot Starter replacement

  • What it is: email marketing and contact management inside WordPress. 80,000+ active installs, rated 96 out of 100 from 250 reviews.
  • Free: unlimited contacts, lists, tags, email campaigns, basic automations and the contact profile that the other four plugins write to.
  • Pro, $129 a year: deeper automation, advanced reports and segmentation, smart links, and the WooCommerce, LMS and membership integrations.
  • The catch: there is no deals pipeline. The FluentCRM 3.0 announcement says it is on the roadmap. Until then, WPManageNinja's own pipeline guide uses FluentBoards cards as deal stages, which is what I would do.

Fluent Support, the Help Scout or Zendesk replacement

  • What it is: a ticketing system with a customer portal. 10,000+ active installs, rated 92 out of 100 from 69 reviews.
  • Free: unlimited tickets, agents and customers, ticket priorities, internal notes and the customer portal, plus migration tools for Zendesk, Help Scout and Freshdesk.
  • Pro, $129 a year: email piping (10 business inboxes on the single site plan), workflows, saved replies, AI reply drafts and WooCommerce, EDD and LMS data inside tickets.
  • The catch: no live chat or phone channel like Zendesk Suite, and no lifetime plan.

FluentBoards, the Trello replacement

  • What it is: Kanban boards and tasks. 6,000+ active installs, rated 100 out of 100 from 25 reviews.
  • Free: unlimited boards and tasks in Kanban and list views, with subtasks, assignees and due dates.
  • Pro, $149 a year or $399 once: calendar and table views, plus the FluentRoadmap add-on.
  • The catch: everyone who works on a board needs a user account on your WordPress site.

FluentBooking, the Calendly replacement

  • What it is: booking pages for one host or a team. 20,000+ active installs, rated 94 out of 100 from 46 reviews.
  • Free: one to one events, availability schedules, email reminders and the FluentCRM, Fluent Forms and FluentBoards integrations.
  • Pro, $79 a year or $249 once: Google Calendar and Outlook sync, Zoom, Google Meet and Teams links, Stripe and PayPal payments, round robin and group events, and SMS reminders.
  • The catch: without calendar sync it cannot see your existing meetings, so a real Calendly switch needs Pro.

Fluent Forms, the Jotform or Typeform replacement

  • What it is: the form builder I run as Pro on this site. 800,000+ active installs, rated 96 out of 100 from 807 reviews.
  • Free: unlimited forms and entries, and the FluentCRM feed I used in my test.
  • Pro, $79 a year or $349 once: conditional logic on integration feeds and the long list of premium integrations, among many other extras.
  • Versus SaaS: no submission caps, unlike Jotform's 1,000 a month on Bronze or Typeform's 100 responses on Basic.

How the Pieces Connect, From My Test

On a fresh WordPress 7.1.4 site with PHP 8.3, I installed the free FluentCRM 3.3.0, Fluent Forms 6.2.16, Fluent Support 2.4.7, FluentBoards 2.2.2 and FluentBooking 2.5.0 for a pretend agency, Northwind Studio.

Then I played Priya, a dental clinic owner, and walked through the site as a lead would.

  1. Contact form. I connected the Project Enquiry form to FluentCRM with a feed that adds every sender to a Prospects list with the tag Website Lead. Priya's enquiry created her contact instantly.
  2. Discovery call. I created a free 30 minute one to one event and gave it two feeds: one tags the guest Discovery Call in FluentCRM, the other creates a task on my Client Projects board. Priya booked 3 November at 10 AM, and her existing contact gained the second tag.
  3. Support ticket. Priya opened a ticket about booking emails, and it appeared on her FluentCRM profile under Tickets.
  4. Project board. The booking dropped a task called Discovery call: Priya Nair into the New Enquiry column, next to the cards for my other pretend clients.

The Fluent Forms feed is a mapping screen: pick the list, map the email and name fields, choose the tags. Conditional logic on that feed, for example tagging only enquiries above a budget, was the one Pro lock I hit on this side of the test.

Fluent Forms FluentCRM feed adding enquiries to the Prospects list and mapping email, first name and last name fields

The free booking page handled the time zone, the slot picker and the guest form.

FluentBooking free booking page for a 30 minute discovery call on 3 November 2026 with the guest details form filled in

One snag: the FluentBoards feed only fired once its label setting held a proper empty value. Test every feed with a fake booking before you trust it.

Everything ends up on the FluentCRM profile. Priya's contact carried both tags and showed the form entry, the booking, the ticket and the task in separate tabs.

In my SaaS example, the same history sits in five different tools unless you wire them together with Zapier.

The Costs the SaaS Comparison Hides

CostWhat I would budgetWhy
Hosting$28 a monthCloudways 2 GB server. Five plugins plus a CRM need more than cheap shared hosting.
Email sendingAbout $1 a monthAmazon SES at $0.10 per 1,000 emails, connected with the free FluentSMTP plugin.
BackupsYour host's backups or a free pluginYour CRM and tickets now live in your database. See my backup plugin guide.
Your timeOne day to set up, then a few hours a monthUpdates, testing feeds after updates and watching email deliverability are now your job.

If you already pay for good hosting and a backup plugin, the extra cost is your time. If you do not, add both before you move customer data off HubSpot. My Cloudways promo code post has the current hosting offer.

A One Day Setup Order

  1. Server, SSL and a daily offsite backup.
  2. FluentSMTP connected to Amazon SES, with SPF, DKIM and DMARC on your domain.
  3. FluentCRM: lists, tags and custom fields before any form exists.
  4. Fluent Forms: rebuild your contact and quote forms and add a FluentCRM feed to each.
  5. FluentBooking: your event types, reminder emails, then the FluentCRM and FluentBoards feeds.
  6. Fluent Support: a business inbox, your agents and the customer portal page.
  7. FluentBoards: one board per workflow, such as sales, client projects and content.
  8. Push a fake lead through every path, then import contacts from your old CRM.

Three Setups I Would Actually Build

BusinessPiecesYear one, listNotes
Solo consultantFluentCRM, FluentBooking, Fluent Forms$287 yearlySkip Support and Boards until clients pile up. Booking Pro is a must for calendar sync.
Small agencyAll five, 5 site licences where client sites need them$565 on one siteBoards for client projects, Support for retainer clients, Booking for sales calls.
Course creatorFluentCRM, FluentCommunity, FluentCart, FluentAffiliate$129 + $199 + $199 yearly, $399 onceCommunity replaces Circle or Skool, FluentAffiliate runs your affiliate program.
One site list prices. FluentAffiliate sells lifetime licences only.

For the course setup, FluentCart closed its lifetime plans after the 30 October 2026 deadline, so it is yearly only now at $199 for one site. FluentCommunity sells both: $199 a year or $319 once.

Who Should Not Do This

  • Teams that need vendor compliance reports. If clients ask for a SOC 2 report from every tool that holds their data, a self-hosted stack makes that your job.
  • Sales teams that live in a pipeline. FluentCRM has no deals view or forecasting yet. Five reps working deals all day are better served by HubSpot or Pipedrive.
  • Anyone without a WordPress admin. When an update breaks a feed, nobody at a SaaS vendor fixes it for you.
  • Heavy phone or chat support. Fluent Support is email and portal tickets; Zendesk Suite adds messaging and telephony.

My Recommendation

Install the five free plugins on a staging copy of your site and recreate my test: one form, one booking event, one ticket.

If the contact profile gives you what you need, buy FluentCRM Pro first and add Pro for the other pieces as you hit their limits. Choose lifetime only for Forms, Booking and Boards, and only if you will use them past year three.

Self-Hosted WordPress Stack FAQ

What is the best HubSpot alternative for WordPress?

For most small businesses on WordPress, FluentCRM. It keeps contacts in your own database with no contact limit, and Pro is $129 a year for one site against HubSpot Starter at $20 per seat a month. It has no deals pipeline yet, so sales heavy teams should stay on HubSpot.

Is there a self-hosted CRM for WordPress?

Yes. FluentCRM is the most installed one, with over 80,000 active installs on WordPress.org. Contacts, emails and automation data sit in your WordPress database.

Does FluentCRM have a lifetime deal?

No. FluentCRM sells yearly licences only: $129 for one site, $249 for five and $499 for 50. Fluent Support is also yearly only. Fluent Forms, FluentBooking and FluentBoards do sell lifetime licences.

Is Fluent Support a good Zendesk alternative?

For email and portal tickets, yes, and the free version has no limit on agents or tickets. It lacks Zendesk's live chat, messaging and phone channels, so it suits teams that support customers by email.

Can FluentBooking replace Calendly?

For one to one meetings on your own site, yes. Google Calendar and Outlook sync, video links and payments need FluentBooking Pro at $79 a year or $249 once, against Calendly Teams at $16 per seat a month.

What is a self-hosted alternative to Trello?

FluentBoards gives you Kanban boards inside WordPress, free for unlimited boards and tasks. Pro adds calendar and table views from $149 a year or $399 once.

How much does it cost to run a business on WordPress plugins?

In my five person example, about $2,739 over three years with five Fluent plugins on yearly licences, a $28 a month server and Amazon SES, against $9,252 for the equivalent SaaS tools.

Do the Fluent plugins work together?

Yes. In my test, a Fluent Forms entry, a FluentBooking booking, a Fluent Support ticket and a FluentBoards task all appeared on the same FluentCRM contact, using only the free versions.
